This Privacy Policy explains how BotSeen (“BotSeen”, “we”, “us”) collects, uses, shares, and protects information when you use our website and services. We aim to collect only what we need to run the product, and we do not sell your personal data.

1.Information we collect

  • Account information. When you sign in with Google, we receive your name, email address, and profile image to create and identify your account and workspace.
  • Workspace content. The projects, brand names, website URLs, competitors, and prompts you add, plus the scan results, diagnoses, and reports the Service generates for you.
  • Usage & device data. Basic logs such as pages viewed, actions taken, IP address, and browser type, used to operate and secure the Service.
  • Billing information. Handled by our third-party payment processor. We receive your plan, subscription status, and a customer reference — never your full card number.

2.How we use information

  • to provide, maintain, and improve the Service and your dashboard;
  • to run scans by sending your configured prompts to AI engines and returning the results;
  • to process payments, manage subscriptions and credits, and prevent abuse;
  • to send transactional and account emails (welcome, billing, and — per your preferences — scan reports and alerts);
  • to comply with legal obligations and enforce our terms.

3.AI processing

To run a scan, the buyer prompts you configure are sent to third-party AI model providers to capture how they answer. These prompts are questions about your market — please do not include personal or sensitive data in prompts, as they are transmitted to those providers under their terms.

4.How we share information (subprocessors)

We share data only with service providers that help us run BotSeen, under agreements that limit their use of it. These include providers for:

  • authentication and database hosting;
  • application hosting and background processing;
  • payments, subscriptions, and invoicing;
  • email delivery;
  • AI model providers, to run scans on your prompts.

A current list of the specific subprocessors we use is available on request.

We may also disclose information if required by law, to protect our rights or users' safety, or in connection with a merger or acquisition. We do not sell your personal data.

5.Data retention

We keep your information for as long as your account is active and as needed to provide the Service. You can ask us to delete your account and associated data; we may retain limited records where required for legal, tax, or security reasons.

6.Security

We use reasonable technical and organisational measures — including encryption in transit, access controls, and hashed API keys — to protect your information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7.Your rights & choices

  • Email preferences. Manage which notification emails you receive from your dashboard's Notifications page. Some transactional emails (e.g. billing, security) are required to run your account.
  • Access, correction, deletion, and export. Depending on your location, you may have rights to access, correct, delete, or receive a copy of your personal data, and to object to or restrict certain processing.

8.International transfers

Your information may be processed in countries other than your own, including where our service providers operate. Where required, we rely on appropriate safeguards for such transfers.

9.Cookies

We use essential cookies to keep you signed in and to operate the Service securely. We do not use cookies for advertising. You can control cookies through your browser, though disabling essential cookies may break sign-in.

10.Children

The Service is not directed to children and is intended for users aged 18 and over. We do not knowingly collect data from children.
